Quality Assurance Coordinator - Part Time 20 Hours

Overview of the role

To manage and control the non-conformance (NC) and corrective/preventive action (CAPA) processes, ensuring accurate records, timely closure, and full traceability.

The role safeguards the integrity of the Quality Management System by ensuring issues are properly recorded, actions are completed, and learning is captured to prevent recurrence

Responsibilities

·       Manage the logging and tracking of non-conformances within the QMS. Ensure all records contain sufficient detail, including issue description, impact assessment, actions, ownership, and timescales.

·       Coordinate the CAPA process to ensure timely and effective closure of actions. Monitor progress, follow up with owners, and escalate overdue or incomplete actions where required.

·       Maintain data accuracy and completeness within NC and CAPA systems. Ensure all required stages, records, and approvals are completed to support audit and compliance requirements.

·       Support root cause and corrective action activities. Ensure investigations are documented, structured, and aligned to preventing recurrence rather than simply closing actions.

·       Monitor trends in non-conformances and recurring issues. Provide regular reports and highlight repeat issues to enable escalation and continuous improvement.

·       Provide administrative support for audits and compliance activities. Coordinate documentation, evidence collation, and audit schedules, ensuring information is accurate and accessible.

·       Engage with stakeholders across the business to support issue management. Act as a central point of coordination to ensure actions are understood, owned, and completed.

·       Promote discipline in the use of NC and CAPA processes. Provide guidance and support to users to ensure consistent and compliant use of the quality system

 

Essential Qualifications, Skills and/or Experience

·       Experience working in an administrative or coordination role.

·       Strong attention to detail and data accuracy.

·       Experience using business systems (ERP-BC, QMS, databases, or similar)

·       Good organizational and follow-up skills.

 

Desirable Qualifications, Skills and/or Experience

·       Experience working in a quality or manufacturing environment.

·       Awareness of non-conformance and CAPA process.

·       Experience supporting audits or compliance activities.

·       Highly organised and disciplined in process control.

·       Confident engaging with stakeholders to ensure accountability.
